TranslateCluj – Hands-on translation
These Terms & Conditions apply to every person registering for one of the conferences/workshops organized by TranslateCluj. The organizers reserve the right to update and change the Terms of Service from time to time without notice. Please read these terms and conditions (“Terms”, “terms and conditions”) carefully.
I. Definitions
- The Organizers (”TranslateCluj”, ”the organizer”, ”we”, ”us”) of the training events are Thomas Tolnai and Laura Sabău, two freelance translators from Cluj-Napoca, helped by a team of volunteers – translators, students and friends. Together they work under the name of TranslateCluj.
Invoices are issued by the INTERSEMANTIC SRL, CUI 43044280, J12/2842/14.09.2020, with registered office in Cluj-Napoca, Str. Dâmboviței nr. 28, scara 5, ap. 47, jud. Cluj, bank accounts RON: RO18BTRLRONCRT0566503001 and EUR: RO65BTRLEURCRT0566503001, Banca Transilvania SA. Our contact details can be found on the website www.translatecluj.com.
- Website is www.translatecluj.com.
- Attendee / Participant is the person who is over 18 years old and who carries out all formalities to register to our conferences.
- Event (”event”, ”conference”, ”workshop”) is any of the translation conferences, workshops or meetings organized by TranslateCluj. The list of events and all the details are published on TranslateCluj website.
- Attendance fee – is the sum of money the attendee has to pay to participate in the event. Each event has its attendance fee, specified on the website.
- Bank account is the bank account of the Organizer, mentioned above in the Organizer’s definition.
- Conclusion of Contract – is the moment the attendance fee is paid in the bank account of the Organizer and the attendee has the right to attend the conference. The payment will be confirmed by e-mail, and the participant will receive an invoice.
II. Participating in our events
1. Conference registration
To participate in one of our conferences, the attendee will have to fill in a registration form published on the website and to pay the participation fee (in the case of fee-based events). For the registration to be completed, the attendee will have to fill in all details required in the form.
A registration confirmation/receipt will be sent by e-mail after the online registration along with an invoice.
The registration period will be announced on our website and in the registration form. No registration will be accepted after the registration period is over.
All personal data processed during the registration process of the attendee are protected under the requirements of the GDPR and the Privacy Policy.
2. Fees
The attendance fee is specified on the conference website and includes the participation in the sessions, lunch and coffee breaks. The Organizer may sell tickets at different prices, depending on the date of registration. Price caps and their validity dates are published on the Conference website.
There may be additional workshops or networking activities which have to be paid separately, but this information will be specified for each particular case.
TranslateCluj reserves the right to change the attendance fees for the conference and other events related to it and to announce this change on the conference website.
The attendance fees do not cover accommodation and transport.
3. Invoicing and payment conditions
The attendance fee will be paid by bank transfer after pre-registration and based upon the issued invoice containing the information filled in in the pre-registration form, within 7 business days.
The registration will be complete only after the fee is paid.
The Organizer reserves the right to request the attendee to send an electronic confirmation of the bank transfer.
4. Cancellation policy
Should your circumstances change and you are unable to attend the event, you must contact TranslateCluj by no later than 30 days before the commencement of the event. A cancellation fee of 50 Euro / 250 RON will apply to cover costs incurred concerning your registration. Should you cancel less than 15 days before the commencement of the event, no refund will be payable.
No refunds will be granted for unattended events or early termination of attendance, in case of cancellation of speakers or any other incidents during the conference, which are beyond the control of the conference organizers.
If the application for refund is granted, we shall reimburse the payment within seven days from the conference closure.
5. Cancellation of the conference
In the event that the conference cannot be held or is postponed due to circumstances beyond the control of TranslateCluj (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the conference organizers, TranslateCluj cannot be held liable by delegates for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, or additional losses, etc.
Under these circumstances, TranslateCluj reserves the right to either retain the entire registration fee and to credit it for a future conference, or to reimburse the delegate after deducting costs already incurred for the organization of the conference and which could not be recovered from third parties.
6. Modification of the schedule
TranslateCluj reserves the right to modify the program. No refunds can be granted in case of cancellation of speakers or any other incidents during the conference which is beyond the control of the conference organizers. Any substitutions or alterations will be updated on our web page as soon as possible.
7. Photography and filming
Please note that photographs and/or video may be taken throughout the events. TranslateCluj may use these in publications, promotional materials, website and social media channels. The subjects of the photographs and/or the videos are chosen at random. By attending TranslateCluj events as a participant or otherwise, you consent to the fact that pictures and/or video may be captured and used by the organizers. If you do not agree with already published data, we ask for immediate notification by e-mail.
The attendee hereby waives all claims (existing and future), including remuneration against the Organizer, for the use of their image/voice/statement for the purposes specified in these Terms and Conditions.
The recorded materials are not stored in any structured format that enables easy identification of persons and does not constitute personal data under the provisions of the GDPR.
III. Copyright
Content published on this website (digital downloads, images, texts, graphics, logos) is the property of TranslateCluj and/or its content creators and protected by international copyright laws. The entire compilation of the content found on this website is the exclusive property of TranslateCluj.
IV. Governing law and jurisdiction
This contract is subject to Romanian law without recourse to its conflicts of law principles. Any legal dispute, controversy or claim arising out of or concerning these Terms shall be settled by the ordinary Court Cluj-Napoca, Romania.
PRIVACY POLICY
TranslateCluj takes your privacy seriously and complies with the local legislation and the EU General Data Protection Regulation (GDPR).
TranslateCluj only collects personal data that are relevant in the context of conference organization: name, address, e-mail, phone number, bank account, company details.
The processing of your data involves the storage on both physical as digital carriers. TranslateCluj will not transfer any personal data to a third party unless there is a legal obligation to do so. The data will not be stored longer than is truly necessary.
You have the following rights: the right to information about our approach to privacy, the right to consult your data, the right to correct or have your data removed, the right to data transfer, and the right not to be subjected to automated individual analysis.
You can also object to the use of certain types of processing and the right to withdraw consent. Any request concerning these matters can be sent to team@translatecluj.com.
